Booking Information
We aim to make the planning process clear and seamless. The information below outlines how bookings, payments and event preparation are managed.
1. Quotes & Booking Confirmation
All events are bespoke and quotations are prepared following discussion of your requirements, guest numbers, venue and service style. Quotations are valid for 30 days unless withdrawn.
A booking is confirmed once written acceptance of the quotation has been received and the required deposit has been paid. Where a booking is arranged via a third party, written acceptance from the client is still required.
2. Payments & Deposits
A deposit of 50% of the quotation is required to secure your event date. The deposit confirms the booking once received and must be paid by the date specified within the quotation.
Invoices are issued following the event unless otherwise agreed, and payment is due within 7 days of receipt.
Payments are processed via secure third party providers and Happy Plate does not store full card details.
3. Changes To Bookings
Final guest numbers and dietary requirements must be confirmed no later than 5 working days prior to the event. Any changes to bookings, including menus, guest numbers or logistics, should be communicated no later than one week before the event where possible.
Additional guests or changes may affect pricing and availability.
Finally, menu items, staffing, styling and event elements remain subject to supplier availability and may be adjusted where necessary.
4. Cancellations & Rescheduling
Deposits are non refundable. If a booking is cancelled, the client may be liable for costs already incurred including labour, materials and supplier charges.
If the event is cancelled up to 7 days prior, the deposit remains payable. Cancellation within 7 days may result in the full booking cost being due, and additional charges may apply in line with our detailed cancellation schedule outlined in our Catering Terms & Conditions.
Where possible, bookings may be rescheduled subject to availability.
5. Event Logistics & Timings
Preparation, setup and service timing vary depending on event size, menu complexity and venue requirements. Access times, staffing requirements and service schedules will be confirmed ahead of the event.
Additional staff time, extended service or staff transport after 23:00 may incur additional charges.
6. Premium Date Charges
Premium dates include Christmas Eve, Boxing Day, New Year’s Eve and Easter weekend. Demand on these dates is highest and availability is limited.
An additional charge of £50 per guest may apply above the quoted menu cost, or a flat rate may be agreed depending on the size and nature of the event.
7. Gift Vouchers
Gift vouchers are available and can be issued for a chosen value to be used towards a Happy Plate catering experience. Gift vouchers are valid for 12 months from the date of issue.
